Massage Policies, Booking Policy & Terms and Conditions

Welcome to Bella Vida Massage. Our goal is to provide a professional, peaceful, safe, and welcoming environment where every client receives personalized care. Please review the following policies before scheduling an appointment. By booking an appointment or receiving services at Bella Vida Massage, you acknowledge that you have read and agree to these policies.

1. Booking Policy

Appointments

  • Appointments are strongly recommended and are subject to availability.

  • Please provide accurate contact information when booking so we can communicate important appointment details.

  • Clients must complete all required intake forms, health history questions, and consent documents before receiving a massage.

  • Certain services may require additional screening or modifications based on your health history.

  • Please notify us of any health conditions, injuries, allergies, recent surgeries, pregnancy, or other relevant concerns before your session.

Arrival Time

  • Please arrive 5–10 minutes before your scheduled appointment to allow time to prepare.

  • If you arrive late, your session may need to be shortened to avoid delaying the next client. The full scheduled service price will still apply.

  • If you arrive significantly late, we reserve the right to treat the appointment as a missed appointment if the remaining time is insufficient to provide the service safely and appropriately.

Appointment Confirmation

  • Please review your booking confirmation for the correct date, time, service, and location.

  • If you do not receive a confirmation, please contact Bella Vida Massage to verify your appointment.

2. Cancellation, Rescheduling & No-Show Policy

Bella Vida Massage reserves appointment time exclusively for each client. Late cancellations and missed appointments prevent us from offering that time to other clients.

Cancellation and Rescheduling

  • At least 24 hours' notice is required to cancel or reschedule an appointment without a fee.

  • Cancellations or rescheduling requests made less than 24 hours before the scheduled appointment may incur a fee of up to 50% of the scheduled service price.

  • Same-day cancellations may be charged up to 100% of the scheduled service price.

  • Clients who do not arrive for their appointment and do not provide notice may be charged up to 100% of the scheduled service price.

Late Arrivals

  • Late arrivals will receive treatment only for the remaining appointment time, when feasible.

  • The original service price remains payable.

  • If the appointment cannot be performed because of a late arrival, the appointment may be treated as a missed appointment under this policy.

Fee Collection

  • Where permitted by law and disclosed before booking, applicable cancellation or no-show fees may be charged to the payment method on file.

  • For cash bookings or other payment arrangements, any applicable fee must be settled before another appointment is confirmed.

  • Please contact us as soon as possible if an emergency prevents you from attending. Exceptions may be considered at our discretion.

3. Massage Session Policy

Personalized Treatment
Every massage is tailored to the client's needs, preferences, and comfort level. Please communicate your preferred pressure, areas of concern, and any discomfort during your session.

Draping and Professional Conduct

  • Proper professional draping is required throughout the massage, except for the specific area being appropriately treated.

  • Clients must remain appropriately draped at all times.

  • Undressing beyond what is necessary for the agreed-upon treatment is not required. Clients may undress only to their comfort level.

  • Bella Vida Massage provides therapeutic massage services only. Sexual services, inappropriate touching, sexual comments, harassment, or any other inappropriate conduct are strictly prohibited.

  • Any inappropriate behavior may result in the immediate termination of the session without a refund. Serious incidents may be reported to the appropriate authorities.

Right to Refuse or Terminate Service
Bella Vida Massage reserves the right to refuse, modify, or discontinue a service when necessary for safety, professional boundaries, sanitation, or compliance with applicable law. If a session is terminated due to client misconduct, the full scheduled service price may remain due to the extent permitted by law.

Personal Belongings
Please secure your valuables. Bella Vida Massage is not responsible for lost, stolen, or damaged personal belongings, except where responsibility cannot lawfully be excluded.

4. Health, Safety & Informed Consent

  • Clients are responsible for providing complete and accurate health information.

  • Please disclose relevant medical conditions, medications that may affect treatment, allergies, injuries, recent surgeries, and pregnancy before your massage.

  • Massage may be postponed, modified, or declined when a condition makes treatment inappropriate or requires medical clearance.

  • If you are experiencing fever, a contagious illness, or symptoms that could put others at risk, please reschedule your appointment.

  • Massage therapy is intended to support relaxation and general wellness. It is not a substitute for medical diagnosis, treatment, or advice from a licensed healthcare professional.

  • Results vary by individual, and no specific outcome is guaranteed.

  • You may request adjustments or stop your session at any time.

  • A signed intake and consent form may be required before treatment.

5. Service Duration and Pricing

  • The service duration listed when booking refers to the scheduled appointment or treatment time as described in the service listing.

  • Please review the service description carefully before booking.

  • Prices, service offerings, and promotions may change. The price confirmed at the time of booking will generally apply to that appointment unless otherwise disclosed.

  • Additional services or enhancements may require extra time and payment.

6. Packages, Series & Promotional Offers

  • Massage packages and promotional offers must be purchased and redeemed according to their stated terms.

  • Packages are intended for the services, durations, and number of sessions specified at purchase.

  • Complimentary sessions or upgrades cannot be exchanged for cash or combined with other discounts unless expressly stated.

  • Packages and promotions are subject to availability and any disclosed expiration dates or restrictions.

  • Packages are not transferable unless Bella Vida Massage approves the transfer in writing.

  • If a package is refunded where permitted, the refund may be adjusted to account for sessions already used at the applicable regular service price, subject to the disclosed package terms and applicable law.

  • Please contact Bella Vida Massage for assistance with package balances, redemptions, or booking questions.

7. Gift Card Policy

  • Gift cards may be redeemed toward eligible services offered by Bella Vida Massage.

  • Gift cards are not redeemable for cash except where required by law.

  • Lost or stolen gift cards may not be replaced unless the original purchase can be verified and replacement is permitted.

  • Gift cards cannot be used to pay cancellation or no-show fees unless expressly approved.

  • Expiration dates, fees, and other restrictions will comply with applicable law.

8. Privacy and Client Information

Bella Vida Massage respects client privacy. Personal information and health information collected through booking, intake forms, and treatment records will be handled responsibly and used for legitimate business, appointment, treatment, and legal purposes.

Client information will not be sold. Information may be disclosed when authorized by the client, necessary to provide a requested service through an appropriate provider, or required or permitted by law.

Please inform us if your contact information changes. Separate consent may be requested for marketing communications, photographs, or testimonials.

9. Payments and Refunds

  • Payment is due according to the terms presented when booking or receiving the service.

  • Please review all charges before completing your purchase.

  • Completed massage services are generally nonrefundable once provided, except where required by law or approved by Bella Vida Massage.

  • Prepaid packages, gift cards, deposits, and unused services are subject to their disclosed terms and applicable law.

  • Any applicable cancellation or no-show fee will be communicated in accordance with the booking terms.

10. Minors

Clients under 18 must meet applicable consent requirements before receiving services. Parent or legal guardian consent and any required presence or supervision will be arranged in accordance with applicable law and Bella Vida Massage policies.

11. Changes to Policies

Bella Vida Massage may update these policies from time to time. The terms applicable to an appointment will be those properly communicated and accepted at the time of booking, subject to applicable law.
